The monthly accountant pack: what to hand over and in which format

Your accountant does not want your platform; they want the same eight things every month in the same shape. The pack is the month in files they can import, downloaded after you have run the month-close checklist.

By the end of this page

You will know what the pack contains, how to run month close first, and how to hand it over.

That is what makes an accountant fast.
  1. Clear the receipt inbox. Unfiled receipts mean the month's spending is not yet on the books.
  2. The checklist. Month close: receipt inbox empty · petty cash and stock counted · official receipts written · drafts sent or deleted · overdue read. Premises does not lock a month; the checklist is what makes it true.
  3. Download. Profit and loss › The month's pack: one ZIP of CSV files — the P&L, the expenses, the official-receipt register, payroll and contributions — with a README, and a folder with the same month shaped for the common accounting programs' imports. Its P&L counts each payment in the month it arrived. It is built from the books each time you download it, so a correction is in the next one.
  4. Send it. Send the ZIP to your accountant. If something changes after they have it, download the month again and say what changed.

What's in it

The P&L — the month's income as it was collected, each payment on the day it arrived, the expenses by category, and the net. The expenses — every expense line of the month, with its category, supplier and door. The receipt register — the official receipts issued in the month. Payroll — the issued payslips of the month. Contributions — SSS, PhilHealth and Pag-IBIG, both shares, and tax withheld. The software folder — the same month shaped for the import screens of six common accounting packages; only issued invoices go into it, never drafts or voided ones. People appear by name and figures only: no government ID number travels in the pack.

Agree the shape once

Send the first pack and ask two questions: which columns do they not need, and which are missing. Its income is on the cash basis — each payment in the month it arrived — and every invoice carries its issue date if they work on accrual. After that the pack is the same every month, which is the whole value of it.

The platform feeds the books; it is not the books. Your accountant keeps the ledger, files the returns and decides what is deductible. The pack is the evidence, organised. If they want to keep their own Google Sheet as the book of record, the push keeps it fed without retyping.
